An electrical audit rarely fails because a business cannot find a test tag. It fails because the evidence is incomplete, assets have been missed, testing intervals cannot be explained, or a failed item remains available for use. Knowing how to pass electrical audits means building a safety system that stands up to scrutiny before an auditor, client, insurer or regulator asks for it.
For Australian workplaces, the goal is not simply to display a current tag on portable equipment. It is to demonstrate a controlled process: equipment is identified, inspected and tested at appropriate intervals, defective items are removed from service, safety devices are verified, and records can be produced quickly.
Start with the audit scope, not the testing date
Electrical audits vary considerably. A construction principal contractor may focus on portable appliance testing, leads, RCD protection and site documentation. A healthcare facility may require more detailed verification of equipment used in patient areas under AS/NZS 3003. An insurer or internal WHS review may examine maintenance systems, incident history and corrective actions.
Before arranging testing, confirm what the audit will assess. Ask for the audit criteria, the sites and asset categories included, applicable standards, and the date records must be available. This prevents a common mistake: completing a broad test and tag programme while overlooking fixed equipment, RCDs, thermal risks or specialised medical equipment that falls within the audit scope.
AS/NZS 3760 provides the framework commonly used for in-service safety inspection and testing of electrical equipment. However, it does not create a single testing interval for every workplace. The appropriate interval depends on the environment, how equipment is used, the likelihood of damage and the risk controls already in place. A warehouse, construction site and office should not automatically have the same schedule.
Build an asset register that an auditor can follow
An asset register is the backbone of audit readiness. It should allow an auditor to select an item in the field and trace it to a clear testing record, or select a record and locate the physical asset. If either direction is difficult, the register is not doing its job.
Each record should have a unique asset identifier, equipment description, location or responsible area, test date, next due date, test outcome and technician details. Where relevant, retain the make, model and serial number. A clear location is particularly valuable for multi-site businesses, large facilities and mobile workforces, where equipment can move between departments or vehicles.
The register must reflect reality. Assets removed from service, disposed of, repaired or transferred need to be updated promptly. Duplicate entries, generic descriptions such as “kettle” or “extension lead”, and missing location details create uncertainty during an audit and make future scheduling harder.
Digital reporting reduces this administrative burden because reports can be searched by site, asset number, test result or due date. It also gives facilities and WHS teams a practical way to identify overdue items before they become an audit issue.
Test the right equipment at the right interval
Passing an audit depends on coverage as much as test quality. Portable and movable electrical equipment commonly includes computers, monitors, chargers, kitchen appliances, power boards, extension leads, portable tools and cleaning equipment. High-risk environments may also include welders, leads used outdoors, temporary site equipment and machinery accessories.
Inspection and testing should be performed by a competent person using suitable, calibrated equipment and a documented process aligned with the relevant standard. Visual inspection matters. Cracked plugs, damaged insulation, loose connections, exposed conductors and damaged casings may be identified before electrical testing is even completed.
Do not treat a pass result as permanent clearance. Equipment can become unsafe after a failed repair, impact damage, moisture exposure or repeated heavy use. Site supervisors and staff should know how to identify obvious damage and report it immediately, rather than waiting for the next scheduled testing round.
Include RCDs and safety switches in the programme
Residual current devices, commonly called safety switches, are a critical control against electric shock. Their testing is often overlooked when businesses focus only on appliance tags. An audit may ask for evidence that RCDs have been checked at the required intervals and that faults were addressed without delay.
The correct approach depends on the type of RCD, its installation and the applicable requirements. Push-button testing may form part of a routine check, while instrument testing confirms operational performance. Keep records showing the device location or board reference, test date, result, technician and any remedial action.
For sites with switchboards under sustained load, thermal imaging can also identify abnormal heat at connections, breakers and components before a failure develops. It is not a substitute for electrical testing, but it can provide valuable evidence of a proactive maintenance approach.
Treat failed items as a controlled safety event
A failed test is not automatically an audit failure. Leaving that failed item in circulation is the problem. Auditors will look for a clear response to non-compliant equipment and evidence that the response occurred promptly.
When an item fails, it should be clearly labelled, isolated from use and recorded in the asset register. The next step may be repair by an appropriately qualified person, replacement or disposal. Once repaired, the item should be retested before being returned to service. The record should show the original failure, the action taken and the final status.
This traceability matters after an incident as well as during an audit. It demonstrates that the business identified a hazard and applied a documented control, rather than merely recording a failed result.
Keep an audit-ready evidence file
The strongest compliance programmes make documentation easy to retrieve. Avoid relying on paper certificates stored in different site offices, email threads held by former staff or spreadsheets that only one person understands.
Maintain a current, centrally accessible file containing:
- the latest asset register and test reports
- RCD and safety switch test records
- failed-item, repair and replacement records
- technician competency or certification details where requested
- relevant procedures, testing schedules and risk assessments
- evidence of specialised inspections, such as thermal imaging, microwave leakage or biomedical equipment verification, where applicable.
Records should be readable, dated and consistent. A report that lists an asset as passed while the register shows it as failed, or a tag date that does not match the report, raises avoidable questions. Periodically review a sample of records against physical equipment to catch discrepancies early.
Prepare the site before the auditor arrives
Audit day should be a verification exercise, not a last-minute search. Assign one responsible contact who understands the records and can coordinate access to plant rooms, switchboards, storage areas and relevant departments. Ensure equipment is accessible, especially assets stored in cupboards, cleaners’ rooms, tool cages and staff kitchens.
Conduct a short pre-audit walk-through. Check for damaged leads, overloaded power boards, daisy-chained extension leads, equipment without identification, tags that are unreadable, and items past their due date. These visible issues can undermine confidence in otherwise sound documentation.
It also helps to speak with supervisors and workers. They should know the basic process for reporting damaged equipment and understand that a failed or out-of-date item is not to be used. A practical safety culture is easier to defend than a compliance system that exists only in reports.
Use recurring compliance management, not one-off testing
The most reliable way to pass electrical audits is to treat compliance as an ongoing operational control. Set due-date reminders, review upcoming work before peak periods, and allow time for testing across all shifts or locations.
