Knowing how to organise compliance records gives your business a clear line of sight over electrical safety, testing due dates and corrective actions – before a missing document becomes a workplace risk or an audit issue.

For facilities managers, WHS coordinators and site supervisors, the goal is not simply to store certificates. It is to maintain a record system that shows what equipment exists, what was tested, who performed the work, whether faults were identified and what happened next. When records are complete and easy to retrieve, compliance becomes a managed operational process rather than a last-minute administrative task.

Start with one source of truth

The most common recordkeeping problem is fragmentation. A test and tag report may sit with the office manager, RCD test results may be held by maintenance, and thermal imaging findings may remain in a contractor email. Each document may be valid on its own, but the business cannot easily demonstrate its overall compliance position.

Create one central compliance location for every site. For most multi-site organisations, a secure digital system is more practical than relying on paper files. It should be accessible to the people responsible for safety and facilities, while maintaining appropriate permissions so records cannot be changed or deleted without authorisation.

Your central record should bring together electrical safety documentation, service reports, certificates, asset registers, fault reports and evidence of completed remedial work. Avoid creating several names for the same location. Decide whether the site is called “Melbourne Warehouse 1” or “MEL-WH1”, document the convention, and use it everywhere. Small inconsistencies are a major reason records become difficult to retrieve over time.

Organise records by site, asset and service type

A practical compliance structure needs to work for both scheduled servicing and urgent questions. If a site manager asks whether a particular appliance passed testing, staff should be able to search by asset ID. Close the loop with supporting evidence. This may be a repair invoice, replacement record, photo, electrician’s report or retest result. Without this step, an auditor may reasonably ask whether the identified risk remained present after the original inspection.

Make audit retrieval part of the process

A record system is only effective if someone can retrieve the right information promptly. Test this before an audit is announced. Ask a manager to locate the latest electrical testing report for one site, the test history for a nominated asset, and proof that a recent failed item was rectified. If this takes more than a few minutes, refine the filing structure, naming rules or access permissions.

Assign clear ownership. A compliance coordinator may maintain the system, but site managers should be responsible for notifying them when equipment is purchased, relocated, disposed of or repaired. Contractors should provide reports in an agreed format and timeframe, while the person receiving the report should check that asset counts, failed items and next test dates are captured.

It is also sensible to review the register after every scheduled service. Compare the number of assets tested with the expected equipment list, investigate missing items and update location changes. This prevents small gaps from carrying forward year after year.
