A faded tag on a kettle, drill or power board is not a compliance system. It is only the visible part of one. Knowing how to manage test tags means being able to identify every portable electrical asset, confirm its testing status, remove failed equipment from service and produce reliable records when an auditor, client or WHS representative asks for them.

For facilities managers and site supervisors, the challenge is rarely applying a tag. The challenge is maintaining accurate information as equipment moves between rooms, vehicles, workshops, sites and staff. A practical tag management process turns testing from a periodic scramble into a controlled safety activity.

How to manage test tags across your workplace

Start by treating each tag as part of an asset record, not as a standalone sticker. The tag should allow a worker or inspector to see the equipment’s current status at a glance, while the asset register holds the detail needed to manage retest dates, locations, faults and compliance evidence.

Under AS/NZS 3760, in-service safety inspection and testing requirements are risk-based. The appropriate testing and tagging interval depends on the type of workplace, the equipment’s use, its environment and the likelihood of damage. A construction tool exposed to dust, moisture and rough handling requires a different approach from a desktop monitor in a low-risk office.

This is why applying one fixed retest cycle across every item and site can create problems. It may leave high-risk equipment unchecked for too long, or add unnecessary disruption and cost to low-risk assets. Your testing provider should help establish a schedule that reflects the relevant standard, workplace conditions and your organisation’s risk controls.

Build an asset register before the next test round

The strongest tag management systems begin with a complete asset register. Each testable item should have a unique asset identification number and enough information to distinguish it from similar equipment. That usually includes the item description, make or model, serial number where available, normal location, responsible area and testing history.

Digital asset registers reduce the risk of duplicate entries and missing equipment. They also make it easier to search by site, department, test date or upcoming due date. Barcode or QR-coded tags can support faster verification during future visits, particularly where an organisation has hundreds or thousands of appliances across multiple locations.

Do not assume equipment without a visible tag does not need attention. It may be new, recently moved, missed during a prior visit or brought onto site by a contractor. Include a process for identifying unregistered equipment during routine inspections, onboarding and site moves.

Set clear ownership for tags and records

Test tag management fails when nobody owns the information between service visits. A technician may complete testing correctly, but records lose value if tags are removed, equipment is relocated or failed items remain accessible.

Assign a site contact or facilities representative to manage day-to-day coordination. Their role is not to conduct electrical tests unless qualified to do so. It is to ensure equipment is available, notify the testing provider of changes, arrange access to locked areas and act on exceptions identified in the report.

For larger organisations, responsibility may sit with a central WHS or facilities team, with nominated contacts at each location. The central team can maintain the schedule and reporting standards, while local contacts confirm asset movements and isolate failed items promptly. This structure is particularly useful for businesses operating offices, warehouses and retail sites in different states.

A simple internal process should cover three events: purchasing new equipment, moving equipment between sites and disposing of equipment. New items need to be added to the register and inspected as required by your policy. Moved equipment should retain its asset identity while its location record is updated. Disposed equipment must be retired from the register so overdue reports do not become cluttered with assets that no longer exist.

Read the tag, but verify the record

A compliant test tag generally records key information such as the test date, next test due date, technician identification and the result of the inspection or test. It should be durable, legible and attached where it can be readily checked without creating a hazard or damaging the equipment.

Tags can fade, tear or detach in demanding environments. That does not automatically mean the appliance has failed electrically, but it does mean its status cannot be easily verified. Replace damaged or missing tags promptly and update the associated record. Avoid handwritten alterations that create uncertainty about the actual test date or due date.

Visual checks remain valuable between formal testing visits. Staff should be encouraged to look for damaged plugs, frayed leads, cracked housings, exposed conductors, loose connections, scorch marks and signs of overheating. A current tag does not override an obvious defect. If equipment appears damaged or behaves unusually, remove it from use and arrange assessment.

Control failed equipment immediately

The most important moment in a testing program is not when a tag passes. It is when an item fails. A failed item needs to be clearly identified, removed from service and prevented from returning to use before repair, replacement or authorised reassessment.

This requires more than leaving a failed tag in place. Isolate the item where possible, notify the responsible manager and record the fault outcome in the asset register. Depending on the equipment and site process, this may mean placing it in a designated quarantine area, arranging repair by a competent person or disposing of it.

Do not let failed equipment sit under a desk, in a store room or beside a workstation awaiting a decision. Equipment can easily find its way back into use if it remains accessible. A defined quarantine process protects workers and provides clear evidence that faults were managed appropriately.

Use reporting to plan, not just prove compliance

Detailed reporting should make the next decision easier. After each testing program, review the results for more than pass and fail totals. Look for recurring faults, frequently damaged leads, departments with high numbers of unregistered assets and equipment types that repeatedly require replacement.

These patterns can reveal practical improvements. Repeated damage to extension leads may indicate poor storage or unsuitable equipment for the task. A high number of failed power boards may suggest overloaded workstations. Frequent missing tags at a particular site can point to weak asset movement controls.

Use the report to prepare the next service date before the current one is forgotten. Set reminders well ahead of due dates, especially where access needs to be coordinated around production, shift work, patient care or tenant operations. Planned testing reduces disruption and avoids a rushed response when an audit is approaching.

For organisations with several sites, a consolidated report is often more useful than separate spreadsheets. It gives management visibility of upcoming due dates, unresolved failures and compliance status across the portfolio while still allowing each site to access its own asset detail.

Account for contractors, hired equipment and specialist areas

Electrical assets do not always belong to the business using them. Contractors may bring tools onto site, hired equipment may arrive for short projects and employees may use portable items supplied from another branch. Your site rules should state how this equipment is verified before use and who retains the evidence.

The right approach depends on the contractual arrangement and the level of risk. In higher-risk environments, it may be appropriate to require current test status before equipment enters the work area, supported by an inspection at sign-in. Keep contractor records separate enough to show ownership, but visible enough that site supervisors can confirm status.

Healthcare and clinical environments require additional care. Equipment used in patient areas may be subject to specific inspection and testing requirements under AS/NZS 3003, while biomedical equipment can require performance verification beyond standard portable appliance testing. Generic tag management is not a substitute for a programme designed around the equipment, location and clinical risk.

Make the program easy for people to follow

The best system is one staff can use without needing to interpret technical rules. Make it clear who to contact when a tag is missing, what to do with damaged equipment and where failed items go. Include these instructions in induction material, contractor requirements and site safety communications where relevant.
